Practice automation: your questions
Most practices we talk to are paying for a good product and still doing a pile of manual work around the edges of it. Off-the-shelf software is built for the average practice, and no practice is average. The gap is usually the same shape: the way your firm sequences a year-end, the chaser wording partners are happy with, the report a specific client insists on. We do not replace your practice software. We build the bits it was never going to cover, and connect to it where it has an API.
Sometimes, in part, and if a simple connector solves your problem we will tell you and you can set it up yourself for a few pounds a month. What we build is for the jobs that are too specific or too involved for that: logic that depends on your deadline cycles, data that needs storing and reporting on, interfaces your team has to use every day. And unlike a per-task subscription, a build has a fixed cost that does not scale with your volume.
Internal dashboards and CRM-style builds start at £5,000. Smaller pieces such as an AI lead qualifier are £2,000 and a booking system is £3,500. Practice automation specifically is quoted per firm, because no two practices sequence their work the same way, and we would rather scope it properly than sell you a template. You get the number before you commit.
Two to four weeks for most builds. We work in weeks rather than quarters because we build with AI assistance throughout. For anything touching a deadline cycle we usually plan the go-live for a quiet point in your calendar rather than three days before a filing deadline.
It stays in systems you control, and we work to the access we genuinely need rather than blanket admin rights. We will put the data handling in writing before we start, including where anything is hosted and who can see it. If your professional body or your PI insurer needs specifics, ask and we will give them.
No. Plenty of practices come to us for the website and the search work first and add the automation later, and that is the common route. But the automation is a standalone piece of work and you can buy only that. We would rather do one useful thing for you than bundle two.
