Privacy Policy
This privacy policy explains how Glide (“we”, “us”, or “our”) collects, uses, and protects your personal information when you visit our website at https://glidemarketing.co.uk or use our services.
Information We Collect
We may collect the following types of personal information:
- Contact information: Name, email address, phone number, and company website when you fill out our contact or audit request forms.
- Usage data: Information about how you use our website, including pages visited, time spent, and referring URLs, collected through Google Analytics.
- Cookie data: We use cookies and similar technologies to improve your experience on our site.
How We Use Your Information
- To respond to your enquiries and provide our services
- To send you your free website audit
- To improve our website and user experience
- To analyse website traffic and understand how visitors use our site
- To send you marketing communications (only with your consent, and you can opt out at any time)
How We Use AI to Help Manage Our Emails
We use an AI-assisted system to help us stay on top of our inbox and reply to people more quickly. When you email us, or when we email you, our system may:
- Read the email so it can sort it into the right folder and work out roughly what it is about.
- Create a draft reply for one of our team to review. A human always checks and sends any reply. The AI never sends anything to you on its own.
- Save a short, one-line summary of the email (for example who it is from, the subject, the rough topic, and the date) into our internal team system, so the right person picks it up.
We do not store the full text of your emails, or any attachments, in our internal team system. We only keep the short summary described above. The original email stays in our normal email account (Google Workspace / Gmail) as it always has.
To do this, the content of the email is sent securely to our AI provider (Anthropic, the makers of Claude) purely so it can be read, sorted and summarised. Anthropic processes this on our instructions and does not use it to train its models under our business terms. We choose providers that store data in the UK or EU where we can.
Our Lawful Basis
For most business and client email, we rely on legitimate interests. Our legitimate interest is running our agency efficiently: replying to you promptly, keeping a clear record of client conversations, and making sure nothing slips through the cracks. We have weighed this against your privacy and believe it is a fair and expected use of business email. You can object at any time (see Your Rights below).
Where we hold information to deliver a service you have asked us for, we rely on performance of a contract. Where the law requires us to keep records, for example for tax and accounting, we rely on legal obligation.
Cookies
Our website uses cookies to enhance your browsing experience. Cookies are small text files stored on your device. We use essential cookies for site functionality and analytics cookies (Google Analytics) to understand how our site is used. You can control cookies through your browser settings.
Third-Party Services and Suppliers
We use a small number of trusted suppliers to run our business. They only process your data on our instructions, and we do not sell your data to anyone or use it for advertising. The main ones are:
- Google (Workspace / Gmail): Our email system
- Google Analytics: Website traffic analysis
- Calendly: Scheduling discovery calls
- Anthropic (Claude AI): Reads, sorts and summarises our emails on our instructions
- Supabase: Stores our internal team records, including the short email summaries (UK / EU region)
- Vercel: Runs and hosts the software that does the above
Each of these services has their own privacy policy governing their use of your data.
Data Retention
We keep the short email summaries in our internal team system for 12 months, after which they are automatically deleted. Your original emails are kept in our email account in line with our normal email retention and our legal record-keeping duties, for example records we need to keep for tax for the periods HMRC requires.
Data Protection
We take appropriate measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the Internet is 100% secure.
Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to processing of your data under legitimate interests, including the AI email handling described above
- Request restriction of processing
- Data portability
To use any of these rights, email us at hello@glidemarketing.co.uk and we will respond within one month. If you are not happy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
